This series contains the transcriptions of the outward correspondence of the General Branch of the Colonial Secretary's Office from 1851 to 1855 and that of the General Branch of the Chief Secretary's Office from 1855 to 1857. The volumes used for this purpose form part of two separate recordkeeping systems. The recordkeeping system of the Colonial Secretary consisted of:VPRS 3219 Outward Registered CorrespondenceVPRS 2814 Outward Registered Correspondence [Colonial Secretary General Branch 1851 - 1855; Chief Secretary General Branch 1855 - 1857]VPRS 2887 Circulars andVPRS 1188 Index to Outward Correspondence.A system of twenty-four volumes was used by the General Branch of the Colonial Secretary's Office for the recording of this correspondence. Twenty of these volumes are contained in VPRS 3219 / P and four in the four volumes of VPRS 2814 / P. Each volume was devoted to a specific subject or office such as Sheriff, Other Colonies, Colonial Architect, Institutions and Clergy. The designated areas for the volumes in this series are:VPRS 2814 / P Unit 1 Institutions (I)VPRS 2814 / P Unit 2 Colonial Agent General (AG)VPRS 2814 / P Unit 3 Clergy (C)VPRS 2814 / P Unit 4 National and Denominational Schools (S)Within each volume all correspondence in relation to that subject or addressed to that office was transcribed. Correspondence related to the administration of that specific area of the Colonial Secretary's responsibilities.All correspondence includes the name and location of the recipient, the outward registered number, the inward registered number of the piece of correspondence to which this was a response, the date of the correspondence, any reference number used by the correspondent, a transcription of the letter or memo and notes of any enclosures. The inclusion of the inwards correspondence reference number allows the inwards correspondence to be consulted in VPRS 1189 Inward Registered Correspondence.The volumes were re-used in 1855 and 1856 for the transcription of the outwards correspondence of the General Branch of the Chief Secretary's Office with Units 1 and 2 being used for that in 1855 and Units 3 and 4 being used for that for 1856. Volumes are given sequential alphabetical designations of A, B, C and D. These designations are used in identifying the volume in VPRS 1188 Index to Outward Correspondence.Once again, all correspondence includes the name and location of the recipient, the outward registered number, the inward registered number of the piece of correspondence to which this was a response, the date of the correspondence, any reference number used by the correspondent, a transcription of the letter or memo and notes of any enclosures.
