VPRS 9694 General Correspondence Files, Alpha-Numeric System

The series consists of general correspondence files created by the Grain Elevators Board (VA 1057) from 1986 to 1994. The files contain inward and outward correspondence, reports, and statistical information and document all matters dealt with by the Boards administration and operating departments. The alpha-numeric filing system under which these files were created was established in 1986, but incorporated files created under the previous multiple number filing system (see VPRS 9692 General Correspondence Files, Multiple Number System). The series was discontinued on the transfer of Grain Elevators Board functions to VicGrain Limited in 1995. Files relating to certain routine functions (for example, building maintenance, security, office equipment) were culled from the series.The series includes files relating to the following functions:Administration and Stock ControlCorrespondence and reports relating to the general operations of the Board including liaison with state and Commonwealth government agencies and related bodies, relevant legislation, participation in trade associations, labor relations, and contracts and agreements. Also includes correspondence and reports relating to the receipt of grains into the system, standards of quality, supply management, and the use of pesticides and other methods of pest control.Operation of ElevatorsCorrespondence regarding the operation of country and terminal elevators including policy and procedure documents, records relating to the storage and shipment of grains, and the maintenance of facilities.EngineeringCorrespondence, reports and contracts relating to the construction or upgrading of grain handling facilities including country and terminal elevators, maintenance of equipment, and the provision of consulting services to other agencies or governments.
