This series contains correspondence dealt with by the Secretary of the Department of Crown Lands and Survey (VA 538). This correspondence was registered in VPRS 3217 Register of Inward Correspondence, Numerical System, Secretary and indexed by VPRS 3218 Index to Register of Inward Correspondence , Numerical System, Secretary.Correspondence in this series relates to all matters other than those to do directly with the occupation of Crown lands. These included matters related to the administration and staffing of the Department, policy matters, correspondence with other Government officials and agencies and matters relating to finance and to other responsibilities of the Department such as vermin and immigration schemes.Correspondence in the last eight units of the series deal mainly with personnel matters and correspondence relating to the naming of post offices and railway stations and to the changing of those names. Correspondence on these latter subjects has been removed from the general sequence.Items of correspondence, when registered had a face sheet attached upon which was placed the registered number, the date of receipt, a summary of the subject and any relevant file number. Also placed on the cover sheet were annotations to and by action officers and at times, summaries or drafts of replies to be sent to the correspondent.In the case of this series, the file number on the cover sheet was used to record the number of any previous piece of correspondence relating to this subject. All pieces of top-numbered correspondence received on the subject were collated together to form a file. This became more obvious after the establishment of VPRS 3218 Index to Register of Inward Correspondence, Numerical System, Secretary where a series of index terms were allocated for subjects upon which correspondence was received. Correspondence on the same subject was placed together for final filing with the number of the last piece of correspondence being the number under which the sequence was filed.The P1 consignment was previously registered as Units 59 and 60 of VPRS 619 Secretary's Correspondence Files, Alphabetical System.
