Each index entry shows: name; date of letter; volume in series of letters sent in which the copy can be found; and the folio number of the letter. At the front of the 1922 volume is a note: "From 22nd May 1922, copies of Letters are filed in Temporary and Permanent files, the latter being retained as a permanent record and the former to be destroyed after a lapse of 12 months.
