The rapid advancement of digital technology has enhanced digital student file management systems by improving data usability through user engagement, system usability, and institutional support, thereby enabling effective implementation. This study investigates the factors influencing user satisfaction and engagement with digital student file management systems, focusing on user proficiency, institutional support, and system interaction in educational environments. A mixed-methods approach was employed, combining qualitative interviews and quantitative questionnaires. Data were collected from 482 purposively selected participants, including administrators, teachers, and students. The analysis was conducted using SPSS and NVivo, applying descriptive and cross-sectional methods within a System Development Life Cycle framework. The findings reveal that system simplicity, user proficiency, and institutional support significantly affect user satisfaction. Administrators reported higher satisfaction levels than teachers and students, who expressed concerns about uneven technological maturity and increased system complexity. Based on these insights, the study proposes a user-centered design framework emphasizing usability.
