The purpose of an admission register was to record basic details about children admitted to the school, and about their parents or guardians. The registers were also used to record the progress of the children through various classes and the date of their leaving the school. The series from Cessnock West Public School consists of separate registers for the school’s Infants, Boys’ Primary and Girls’ Primary departments. It is currently represented by the registers of the Infants’ Department (the first part of the school to be established) from its foundation in 1920 to the end of 1962, and by the Admission Register of the Girls’ Primary (established 1928) for the period 1941-1943. These volumes contain information pertaining to each pupil including: date of admission; pupil's name; date of birth; religious denomination; name of previous school and date of leaving. The following details are recorded about the child's parents or guardians: name, residence and occupation. The pupil's date of admission to each subsequent grade, date of leaving the school and any occupation entered into on leaving school are also recorded; this last column is also used to record the school to which a pupil may have transferred, or, in the case of the Infants’ School registers, the pupil’s promotion to the appropriate Primary department.In the Infants’ Department registers, girls and boys are listed on opposite pages in order of admission, and the entries are numbered in separate sequences. These sequences run continuously until the end of 1924; thereafter, two new sequences, in which each entry number incorporates the last two digits of the year number, are commenced at the beginning of each school year. The latter system of numbering is also employed in the single surviving Admission Register volume from the Girls’ Primary Department, although here, of course, only one sequence is required each year.Admission registers in paper format ceased in 1999 when the department moved to recording enrolment details in electronic format.
