This series registered incoming correspondence under commonly used headings such as departmental names or subjects. In this way the register was self-indexed, and also assisted in the retrieval of the correspondence which was filed in annual single number order.The registers recorded the following details in a column format:-- Registration number-- Date of letter-- Date received-- Author-- Subject description-- Registration numbers of previous and subsequent items received on the same subject.
本系列档案以部门名称、主题等常用标目对收文进行登记。通过此种方式，该登记册可实现自索引功能，同时便于检索按年度单一编号规则归档的往来函件。该登记册以栏位格式记录以下信息：
